A World Cafe is a simple, structured way to help a group share ideas, build understanding, and spark new thinking.

Small groups sit at different tables and discuss key questions for a set time. After each round, participants switch tables, bringing ideas from their previous conversation with them. This helps connect thoughts across the whole group and uncover fresh insights.

World Cafés work best when you want to explore big or complex issues, gather diverse perspectives, or co-create ideas and solutions with a large group.


Best Practices

Create a welcoming, relaxed space. This encourages curiosity and open dialogue.

Focus on shared learning, not quick solutions. The purpose is to explore possibilities, not to rush to decisions.

Encourage cross-pollination. Rotating participants ensures fresh ideas at each table.


Basic Steps

1. Set your purpose. Choose a broad but clear question that invites different views.

2. Invite the right mix. Bring together a diverse group—staff, customers, partners, or community members.

3. Prepare the space. Set up small tables (4–5 people) with markers, sticky notes, and paper to capture ideas.

4. Host the conversations. Start with purpose and guidelines. Run 3+ rounds of 20–30 minutes. After each round, participants switch tables while one person stays to share key points.

5. Capture insights. Tables record main ideas as they go. Gather these for a full-group reflection at the end.

6. Reflect and plan. End by reviewing themes and deciding how the insights will guide next steps.
